Exempt an item or document from an expiration policy

You can exempt a specific item or document from an information management policy if you don't want that policy to apply to this particular item, or if you have a business need to exempt the item from the policy.

For example, a team saves working drafts of business documents, such as memos and process documentation, to a document library that has an information management policy with an expiration policy. The expiration policy specifies that all documents are deleted one year after they are created. This policy helps the team to manage storage and eliminate out-of-date information. It is helpful because most documents in the library are useful for only a short time. Occasionally, someone on the team creates a process document that needs to be retained for longer than a year because it applies to a long-term project or issue. The team member can opt to exempt that item from the information management policy that applies to the document library. This action ensures that the document is not automatically deleted a year after it is created.

You must have at least the Contribute permission level to exempt an item from policy.

  1. Open the list or library that contains the item or document that you want to exempt from an information management policy.
  2. Point to the item or document, click the arrow that appears, and then click View Properties.
  3. In the Exempt from Policy section, click Exempt from policy.

     Note    The Exempt from policy command appears only if the item or document is subject to an information management policy.

  4. Click Exempt.
